Administrative Assistant

Location: Eugene, Oregon
Employment Type: Full-Time, On-Site

Houck Evarts & Company is seeking a professional, organized, and detail-oriented Administrative Assistant to join our Eugene office. This position plays a key role in supporting our partners, accountants, and clients while helping ensure the smooth operation of our office.

Responsibilities:

  • Answer and direct incoming phone calls and greet clients and visitors in a professional and welcoming manner.
  • Prepare, format, scan, file, and organize client documents and records in both paper and electronic formats.
  • Assist with tax season workflows, including assembling tax returns, tracking client documents, processing electronic signatures, and managing client correspondence.
  • Coordinate incoming and outgoing mail, secure document delivery, and other administrative communications.
  • Maintain client files and databases in accordance with firm procedures and confidentiality requirements.
  • Monitor and order office supplies and help maintain an organized reception and office environment.
  • Support partners and staff with scheduling, administrative projects, and special assignments.
  • Collaborate with team members in both office locations to ensure efficient workflow and excellent client service.
  • Follow established procedures for handling confidential financial and tax information.

Qualifications:

  • High school diploma or equivalent required; associate degree or administrative training preferred.
  • Prior administrative, receptionist, customer service, or office support experience preferred.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Experience in a CPA firm, tax office, legal office, or other professional services environment is a plus.

Compensation & Benefits

This position is compensated on an hourly basis, with pay determined by experience and qualifications. Some overtime will be required during peak deadline periods.

Pay: $18.00 - $21.00 per hour
