Administrative Assistant Job Description

The Village Green Metropolitan Park District (MPD) wishes to hire a part-time administrative assistant to report to the Village Green Community Center Director at the Village Green Community Center in Kingston, WA.

About the Role:

The administrative assistant is the quiet, steady backbone of our community center. This position provides essential behind-the-scenes support to keep daily operations running smoothly. The role focuses on accounts payable, purchasing, document organization, communications scheduling, and program-related administrative tasks. It also serves as key administrative support to the Center Director, ensuring continuity when the Director is out of the office.

Position responsibilities:

  • Process incoming invoices and prepare outgoing checks
  • Track payments and maintain accurate AP records
  • Communicate with vendors as needed
  • Maintain organized digital and physical AP files
  • Ensure timely processing to avoid delays or errors
  • Order office, kitchen, and program supplies
  • Track inventory levels and anticipate needs
  • Maintain vendor relationships
  • Keep purchasing records organized and accessible
  • Payroll support including maintaining tracking spreadsheets
  • Update the online calendar and website with programs and events
  • Assist with simple flyers or announcements
  • Assist with scanning, filing, and archiving
  • Ensure documents are clearly named and easy to find
  • Misc. program and administrative support

Skills and knowledge required:

  • High School Diploma or GED
  • 2 years’ experience as an office assistant or related field
  • Working knowledge of and experience with Microsoft Word, Microsoft Excel, and similar software programs
  • Have a valid driver’s license and pass a background check
  • Excellent communication skills with the ability to take direction
  • Outstanding organizational, customer service, and time management skills

  • Strong attention to detail and accuracy
  • Comfort with numbers and basic financial processes
  • Ability to learn and follow structured workflows
  • Excellent organizational skills
  • Reliable, consistent, and able to work independently
  • Strong written communication skills
  • Comfortable with digital tools, shared drives, and basic reporting
  • Ability to maintain confidentiality and professionalism

Weekly hours are expected to be 20 hours per week to start.

The Village Green Metropolitan Park District is a ‘junior taxing district’ subject to Washington State law, established by District voters in August 2010. Also called a municipal corporation, the MPD levies tax on property owners within the District boundaries, which encompasses almost all of zip code 98346, except for Eglon, plus some Miller Bay Estates addresses. These households were judged to be most in need of the adult and children’s services to be offered by the Village Green Community Center once built.
