Job Type: Full-Time
Location: Monmouth County, NJ

A growing New Jersey based surveying firm is seeking a motivated and detail-oriented Administrative Assistant to support our office operations and project coordination team. This position plays a key role in keeping projects organized, maintaining internal workflows, and ensuring exceptional service to our clients.

The ideal candidate is highly organized, proactive, and capable of managing multiple tasks in a fast-paced professional environment. Strong communication skills, attention to detail, and a positive attitude are essential.

Responsibilities Include:

· Preparing and processing proposals for surveying projects

· Setting up new projects within internal systems and accounting software

· Assisting with project tracking and maintaining internal schedules

· Coordinating with project managers, field crews, and office staff to ensure project information is current and accurate

· Releasing final survey deliverables to clients

· Printing, assembling, and mailing survey plans and project documents

· Managing incoming and outgoing mail and delivery services

· Answering and directing phone calls and responding to general client inquiries

· Maintaining electronic and hard-copy project records

· Providing general administrative support to management and staff as needed

Qualifications:

· Minimum of 3 years of administrative experience, preferably in a professional services, engineering, surveying, architecture, or construction-related environment

· Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams

· Excellent organizational and time-management skills

· Strong written and verbal communication abilities

· Ability to prioritize multiple assignments and meet deadlines

· High level of accuracy and attention to detail

· Professional demeanor and commitment to providing outstanding client service

· Ability to work both independently and collaboratively as part of a team
