Administrative Assistant

Position Title: Administrative Assistant

Location: Upper Marlboro, MD (Prince George’s County)

Hours: 8:00AM -5:00PM

Employment Type: Full-Time

About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to support our team with day-to-day operations, project coordination, budgeting, and administrative functions. The ideal candidate will possess strong financial and budget management experience, advanced Microsoft Excel skills, and proficiency in Microsoft Project. This role requires excellent communication, multitasking, and organizational abilities.

Key Responsibilities

  • Provide comprehensive administrative support to management and staff.
  • Coordinate schedules, meetings, appointments, and travel arrangements.
  • Prepare, monitor, and track budgets, expenses, and financial reports.
  • Maintain accurate records, files, and documentation.
  • Create and manage spreadsheets, reports, and data analysis using Microsoft Excel.
  • Assist with project planning, scheduling, and tracking using Microsoft Project.
  • Monitor project timelines, milestones, and deliverables.
  • Process invoices, purchase orders, and expense reports.
  • Prepare presentations, correspondence, and meeting materials.
  • Support process improvement initiatives and administrative systems.
  • Maintain confidentiality and handle sensitive information with professionalism Qualifications

Qualifications

  • Minimum of 3–5 years of administrative support experience.
  • Experience with budgeting, financial tracking, and expense management.
  • · Advanced proficiency in Microsoft Excel, including formulas, pivot tables, charts, and reporting.
  • · Strong working knowledge of Microsoft Project.
  • · Excellent organizational and time-management skills.
  • · Strong analytical and problem-solving abilities.
  • · Outstanding written and verbal communication skills.
  • · Ability to manage multiple priorities and meet deadlines.
  • · High level of accuracy and attention to detail.
  • · Associate's or Bachelor's degree in Business Administration, Finance, Accounting, or a related field preferred.

Preferred Skills

  • Experience supporting senior management or project teams.
  • Knowledge of financial reporting and budget forecasting.
  • Experience with accounting or ERP software.
  • Strong project coordination and tracking experience.
  • Proficient in Microsoft Office Suite (word, power point, excel)
  • Advanced Microsoft Excel skills is a must
