NFI Massachusetts, Inc. is seeking a highly organized and detail-oriented full-time Administrative Assistant to support the day-to-day operations of our year-round school and Intensive Residential Treatment Program (IRTP) in Westborough, MA. This position plays a vital role in maintaining efficient program operations while supporting staff, clients, school and leadership within a fast-paced, trauma-informed residential treatment setting serving adolescents with complex emotional, behavioral, and mental health needs.
Essential Responsibilities
- Types a variety of documents including correspondence, forms, reports, purchase orders, etc.
- Enters a variety of data into the computer; verifies statistical and other records for accuracy and completeness; enters and retrieves sensitive and restricted information into the computer system
- Enrolls students; generates, updates and maintains academic records; prepares class and meal rosters; transfers records; verifies student and parent information; reviews and enters disciplinary actions into the Powerschool computer system
- Prepares and verifies enrollment reports; informs teachers of custody changes; notifies food services of changes
- Coordinates and assists with processing accounts payable, purchasing, payroll, budgetary and other financial data; reconciles invoices with payment vouchers; prepares bills; performs calculations and posts to statistical and other records applying knowledge of regulations; maintains inventories and orders supplies
- Maintains school website, links, data and graphics; troubleshoots personal computer and peripheral equipment in classrooms and computer lab; generates work orders when necessary
- Assists in the preparation and distribution of flyers, informational materials and newsletters
- Operates a variety of standard office equipment; performs light maintenance on copiers
- Processes incoming and outgoing mail
Qualifications
- High school diploma or equivalent required; associate degree preferred
- Previous administrative or office support experience preferred
- Experience in human services, behavioral health, healthcare, education setting, or non-profit settings preferred
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, PowerPoint, and Publisher
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple priorities and meet deadlines in a dynamic work environment
- Excellent interpersonal, communication, and customer service skills
- Ability to work independently while collaborating effectively as part of a team
Salary: $24 - $26 per hour | Status: Full-time
