Job Summary
Nevada Rural Counties RSVP Program, Inc. is seeking a detail-oriented and dependable Part-Time Administrative Assistant to assist with timesheet processing, verification, and administrative support. This position will help ensure timesheets are submitted accurately and timely by employees, volunteers, and independent contractors, and that documentation is complete for payroll, billing, grant reporting, and reimbursement purposes. This position is currently part-time, with the possibility of increased hours depending on organizational need and workload.

Duties

  • Review employee, volunteer, and independent contractor timesheets for completeness, accuracy, signatures, dates, service details, and required documentation.
  • Assist with verifying timesheet information against Assisted Rides, service requests, schedules, and other program records as needed.
  • Identify missing, incomplete, or incorrect timesheets and follow up with staff, volunteers, and independent contractors for corrections.
  • Ensure timesheets include accurate program, grant, county, client, and service information when applicable.
  • Assist with organizing and preparing timesheets for payroll processing, billing, grant reimbursement requests, and internal review.
  • Track outstanding timesheets and help ensure deadlines are met.
  • Maintain organized electronic and paper files related to timesheets, payroll backup, and program documentation.
  • with reviewing service documentation for accuracy and consistency.
  • Communicate professionally with staff, volunteers, independent contractors, and supervisors regarding timesheet corrections and documentation needs.
  • Support administrative tasks related to fiscal, program, and grant reporting as assigned.
  • Maintain confidentiality of employee, volunteer, contractor, client, payroll, and organizational information.
  • Assist with other office and administrative duties as needed.

Experience

  • High school diploma or equivalent required.
  • Previous administrative, payroll, bookkeeping, nonprofit, or data entry experience preferred.
  • Strong attention to detail and accuracy.
  • Ability to meet deadlines and manage multiple tasks during busy processing periods.
  • Ability to communicate professionally and follow up on missing or incomplete information.
  • computer skills, including Microsoft Outlook, Word, Excel, and Teams.
  • Ability to learn and use organizational databases and electronic filing systems.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Strong organizational skills and ability to work independently.

Preferred Qualifications:

  • Experience reviewing timesheets, invoices, payroll records, or grant documentation.
  • Experience working in a nonprofit, government-funded, or human services organization.
  • Familiarity with client management systems, service documentation, or transportation programs.
  • Knowledge of basic grant compliance and documentation requirements.

Work Schedule:
This is a part-time position. Hours may vary depending on timesheet deadlines and organizational needs. Additional hours may be needed during peak timesheet processing periods, particularly at the beginning and middle of each month.

Pay: $20.00 per hour
