We are an established law and tax firm in Clearwater, Florida, serving individuals, businesses, and families with legal, tax, and estate matters. We are seeking a seasoned Administrative Assistant to join our team and serve as a key point of contact for our clients in a professional office environment.
Position Overview
The Administrative Assistant plays a central role in the daily operations of the firm, supporting attorney and tax professional while managing client relationships with warmth, discretion, and professionalism. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment
Key Responsibilities
- Serve as a primary point of contact for clients, building and maintaining strong client rapport through professional, courteous communication
- Answer and manage a multi-line phone system with excellent phone etiquette; screen and route calls appropriately
- Schedule and coordinate client meetings with attorneys and tax professionals; manage multiple calendars
- Maintain and organize client files (physical and electronic) with strict attention to accuracy and confidentiality
- Manage several work projects simultaneously, tracking deadlines and following up to ensure timely completion
- Prepare, proofread, and format correspondence, documents, and client communications
- Greet clients and visitors and ensure a polished, welcoming front-office experience
- Provide general administrative support to attorney and staff, including copying, scanning, mailing, and document assembly
- Assist with intake of new client information and engagement documentation
Qualifications
- Minimum 5 years of administrative experience required (10+ years preferred); experience in a law firm, CPA firm, bank or other professional services office strongly preferred
- High proficiency in Microsoft Office (Word, Excel, Outlook) required
- Exceptional organizational skills and attention to detail
- Proven ability to multi-task and manage competing priorities under deadlines
- Excellent verbal and written communication skills
- Professional demeanor and appearance appropriate for a client-facing role
- Ability to handle sensitive and confidential information with absolute discretion
- Reliable, punctual, and self-directed with a strong work ethic
Preferred (Not Required)
- Experience with legal practice management software (e.g., Clio) or tax preparation workflows
- Notary Public commission, or willingness to obtain
- Familiarity with IRS correspondence, court filings, or estate/trust administration documents
Schedule & Environment
- Monday–Friday, 8:30am – 5:00pm
- Professional office environment in Clearwater, FL
- On-site position; remote work is not available
Compensation & Benefits
- Starting salary: $40,000–$45,000, commensurate with experience
- 1 week paid time off (PTO)
- 2 weeks paid vacation
