Administrative Assistant

The Town of Orchid is looking for an energetic and personable individual to join its small team responsible for the Town's day-to-day administration. Read on to see if you'd be a great fit to serve this idyllic community located on the barrier island in Florida's Indian River County.

At a Glance

  • The position is fulltime
  • The starting salary range is $50,000 to $60,000, depending on qualifications and experience

  • Regular operating hours are 8 a.m. to 4 p.m. daily

Responsibilities

The Assistant to the Town Manager has hands-on responsibilities that are wide-ranging and include a combination of routine, moderately complex, to highly skilled administrative duties.

  • Manages the Town’s public meeting schedule; delivers agenda packets and attends all public meetings and prepares informative draft minutes
  • Keeps the community informed by updating webpages and distributing digital communications to Town subscribers
  • Serves as the primary contact regarding the trash and recycling programs, streetlight maintenance, dog licensing, and sea turtle protection
  • Conducts research on a wide variety of services, requirements, products, etc.
  • Processes a wide variety of records within the Town's records management system and program
  • Plays an important role within the Town's accounting functions
  • Tracks various inventories
  • Supports the Building Department

Ideal Qualities

  • Adaptability: The ability to pivot smoothly between financial tracking, public-facing communication, regulatory research, and more
  • Tech-Savviness: Comfort working across a variety of digital platforms and systems, including some with which you don't yet have experience
  • Organization: Top-tier skills in efficiently managing timelines, public records, and a variety of priorities
  • Ethics: A high level of integrity suitable for a governmental environment subject to broad transparency laws
  • Communication: Excellent writing and note-taking skills, combined with comfort speaking on the phone

Preferred Experience

  • Experience with QuickBooks
  • Experience with records management
  • Experience in an administrative position
  • Active notary public in the State of Florida

Required

  • Must have valid Florida driver's license and access to reliable transportation
