Administrative Assistant

The Administrative Assistant plays a vital role in ensuring the smooth and efficient operation of daily business activities at T.E. Stevens Construction. This position provides multi-departmental support—primarily to Human Resources, Accounting, and Project Management—by handling a variety of administrative functions with accuracy and professionalism.

The ideal candidate is detail-oriented, organized, and proactive, with the ability to manage competing priorities and maintain clear communication across all levels of the organization. From generating detailed reports and supporting employment processes to processing accounts payable and receivable, the Administrative Assistant contributes directly to the operational success of our team.


Human Resources Support

  • Assist with the onboarding process for all new hires, including preparing new hire paperwork, coordinating pre-employment requirements, scheduling orientations, and ensuring all required documentation is completed and maintained.
  • Conduct new employee orientation and assist employees with completing benefit enrollment, tax forms, direct deposit information, and company policies.
  • Maintain employee personnel files and ensure records are accurate, organized, and compliant with company policies and applicable regulations.
  • Assist with employment verifications, employee communications, training coordination, and other administrative HR functions.
  • Provide exceptional customer service to employees by responding to routine HR-related questions and directing employees to appropriate resources when necessary.
  • Support HR initiatives, projects, investigations, and compliance activities as assigned.

Accounting and Administrative Support

  • Assist with accounts payable and accounts receivable processing, including data entry, invoice review, and filing.
  • Support payroll administration by maintaining accurate records and assisting with payroll-related documentation.
  • Reconcile invoices, purchase orders, and other accounting documents as directed.
  • Maintain organized financial and administrative records in accordance with company procedures.
  • Assist with general office administration, data entry, reporting, and special projects as assigned.

QUALIFICATIONS

  • High school diploma or equivalent required; associate degree or higher is a plus

  • Bilingual in English and Spanish preferred, but not required

  • 3–5 years of relevant office administration or clerical experience preferred

  • Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook, is essential

  • Experience with data entry and maintaining digital records is beneficial

  • Ability to work independently with minimal supervision, while maintaining strong communication with all levels of management

  • Strong analytical, verbal, and written communication skills, as well as excellent interpersonal and organizational abilities

  • Proven ability to handle confidential information with discretion and professionalism

  • Capable of adapting to a fast-paced work environment, multitasking effectively, and collaborating across departments
