Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and clients with professionalism and warmth
  • Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records
  • Utilize ShopVox and Google Workspace tools for scheduling, correspondence, and document creation
  • Support bookkeeping tasks using ShopVox to assist with invoicing, expense tracking, and financial record-keeping
  • Coordinate calendar management and appointment scheduling for staff members or executives
  • Provide customer service support by addressing inquiries promptly and efficiently, ensuring positive interactions at all times

Skills

  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Demonstrated clerical experience including data entry, filing, proofreading, and document management
  • Exceptional customer service skills with a friendly demeanor and professional phone etiquette
  • Experience with office management practices such as supply ordering, space organization, and process improvement
  • Knowledge of office equipment operation including multi-line phones, printers, scanners, and fax machines
  • Strong time management skills to handle multiple responsibilities efficiently while maintaining attention to detail
