Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support the daily operations of our property management office and work directly alongside the Property Managers.
The ideal candidate must be detail-oriented, capable of multitasking under pressure, and comfortable communicating with tenants, vendors, utility companies, and NYC agencies in a professional manner.
Key Responsibilities
- Respond to tenant concerns, complaints, and lease/rental violations
- Communicate with tenants regarding leasing, balances, payment issues, and general building matters
- Coordinate maintenance requests and ensure timely follow-up and completion
- Assist with handling after-hours emergency tenant calls
- Liaise with City and State agencies including Rent Assistance Programs and Housing Court personnel
- Open, close, and maintain utility accounts.
- Draft professional letters, notices, emails, and general correspondence
- Answer and manage incoming office calls
- Open, organize, and distribute office mail
- Manage calendars, meetings, and appointments
- Perform general administrative and operational support tasks as directed
Qualifications
- Minimum 2 years of high-level administrative support or property management experience required
- Strong organizational and multitasking skills
- Excellent written and verbal communication abilities
- Ability to remain professional in high-pressure situations
- Strong problem-solving and follow-up skills
- Valid driver’s license preferred
Technical Requirements
- Proficiency in Microsoft Excel, Word, and Outlook is required
Job Details
- Full-time position
- Monday through Friday schedule
- Availability for occasional evening or weekend emergency calls required
- On-site position located in Doral
- Compensation based on experience
- Paid time off offered
Candidates must be able to reliably commute to Doral or relocate prior to starting employment.
