Administrative Assistant

Job Summary

Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately
  • Perform data entry tasks using Microsoft Office and Google Workspace applications with precision and speed
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Support bookkeeping activities using QuickBooks or similar accounting software for invoicing and expense tracking
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events seamlessly
  • Provide customer support by responding promptly to inquiries via phone or email, demonstrating excellent customer service skills
  • Proofread correspondence and documents to ensure clarity, accuracy, and professionalism
  • Handle clerical duties such as copying, scanning, faxing, and managing office supplies inventory
  • Support office management tasks including organizing files, preparing reports, and maintaining office equipment

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Familiarity with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
  • Bilingual abilities are a plus to serve diverse client needs effectively
  • Strong typing skills with high accuracy; ability to perform data entry efficiently
  • Previous clerical or administrative experience in a healthcare or dental/medical setting is advantageous
  • Exceptional customer service skills with a friendly and professional demeanor
  • Ability to multitask effectively while maintaining a positive attitude under pressure
  • Knowledge of office management practices including filing systems and calendar coordination
  • Personal assistant or medical receptionist experience is beneficial but not required
