Administrative Assistant

Job Overview

The Administrative Assistant provides clerical and administrative support to the Fire Chief, Deputy Chief, and district staff. This position requires excellent organizational skills, attention to detail, and the ability to work independently in a professional public safety environment. Responsible for human resources administration, department records, ambulance billing, and insurance claims. Generally types, files, answers phones, greet and help customers, keep records, and enters data into computer data base.

Schedule

  • Part-Time Position
  • Semi-Flexible Hours
  • Approximately 15–18 hours per week
  • Work schedule can be coordinated with department administration

Duties Include

  • Answering phones and greeting visitors
  • Preparing correspondence and reports
  • Filing and records management
  • Assisting with payroll and personnel documentation/records
  • Managing department calendars
  • Data entry and database management
  • Oversees ambulance-billing working with contractor’s personnel to ensure accuracy and reimbursement to the District
  • Submits and manages insurance claims on behalf of the department/district
  • Assists the Fire District Clerk, Treasurer and Prudential Committee with preparation of the Annual Report & Warrant
  • Works with fire prevention personnel to keep accurate records of inspections
  • Assists and coordinates with the Department's Records Access Officer in responding to public records requests, maintaining records in accordance with applicable laws and regulations, and ensuring the timely retrieval and release of public documents
  • Other administrative duties as assigned

Qualifications

  • High school diploma or equivalent
  • Proficiency with Microsoft Office (Word/Excel) and Gmail
  • Strong communication and organizational skills
  • Ability to maintain confidentiality
  • Prior administrative experience preferred
  • Municipal or public safety experience a plus
