Administrative Assistant

Overview
We are seeking a dynamic and highly organized Administrative Assistant to support the efficient delivery of workforce development programs. This vital role provides essential administrative support across a range of functions, including data management, participant intake, testing center coordination, and day-to-day office operations.

Responsibilities

Administrative & Office Support

  • Perform general administrative duties including scheduling, filing, correspondence, and front-desk support
  • Manage calendars, appointments, and meeting logistics
  • Maintain organized electronic and physical records
  • Data Entry & Systems Management
  • Accurately collect, enter, and maintain participant data in SHINE and other systems of record
  • Ensure compliance with data quality standards and reporting requirements
  • Assist with document tracking, file auditing, and program documentation

Testing Center Support

  • Coordinate scheduling of Pearson VUE and other certification exams
  • Assist with test-day, logistics, participant check-in, exam proctoring and documentation
  • Support compliance with testing center security protocols and procedures
  • Provide basic troubleshooting and coordination for technical needs

Participant & Program Support

  • Serve as a first point of contact for test tackers
  • Provides information on services, programs, and next steps
  • Support outreach efforts through basic communications and follow-up
  • Maintain testing center supply inventory and assist with procurement as needed

Qualifications

  • High school diploma or equivalent required
  • Associate degree or relevant administrative experience preferred
  • 2+ years of administrative, data entry, or office support experience

Skills & Abilities

  • Strong organizational, time management, and prioritization skills
  • High attention to detail, accuracy, and proofreading ability
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace; strong computer, data entry, and typing skills
  • Ability to learn and manage database systems (e.g., SHINE)
  • Experience with multi-line phone systems, calendar management, and professional phone etiquette
  • Excellent written and verbal communication skills
  • Strong interpersonal and customer service skills
  • Ability to handle sensitive information with confidentiality

Pay: $17.00 - $18.50 per hour
