Administrative Assistant – Duties and Responsibilities

The Administrative Assistant provides support to ensure the efficient operation of the office.

  • Maintain and organize filing systems for documents, including filing, copying, purging, and quality assurance of files
  • Distribute prior authorizations (PAs) and treatment plans
  • Use computers and various software programs to enter and retrieve information and prepare reports, memos, and other correspondence as required
  • Schedule appointments and maintain calendars
  • Provide general administrative support to staff
  • Answer phones and greet visitors in a professional manner
  • Assist with meeting setup and preparation
  • Operate office equipment (e.g., copiers, calculators, fax machines, and computers)
  • Participate in data collection efforts supporting the agency’s performance improvement initiatives
  • Assist with other projects related to the agency’s operations as requested
  • Measure and record patient vital signs while assisting the Nurse Practitioner during clinic days (2 days per week)
  • Qualifications/Work Expectations
  • Accept supervision and follow agency policies
  • Cooperate and work effectively with other staff members
  • Work well under pressure in a fast-paced environment
  • Effectively plan and organize work
  • Work independently when necessary
  • Meet deadlines consistently
  • Bilingual is a plus but not required

Job Type: Full-time

Pay: $15.00 per hour
