Job Overview
Northeastern Air Quality is seeking a highly organised and proactive Administrative Assistant to join our dedicated team in Oklahoma City, Oklahoma. This is a full-time position, central to our mission of improving air quality through expert testing, assessment, and environmental consulting. The successful candidate will provide essential administrative support, ensuring the smooth and efficient operation of our office. You will be a key player in helping us serve our residential and commercial clients and promote healthier air standards. We are looking for a reliable and detail-oriented professional who thrives in a supportive team environment.
Responsibilities
* Provide comprehensive administrative support to the team, including managing calendars, scheduling appointments, and coordinating meetings.
* Act as the first point of contact for the company, handling incoming calls and correspondence with professionalism.
* Prepare, format, and edit reports, invoices, presentations, and other important documents.
* Organise and maintain both physical and digital filing systems to ensure information is easily accessible.
* Liaise with clients and suppliers, building positive and effective working relationships.
* Monitor office supplies inventory and place orders as necessary.
* Assist with project-related administrative tasks and provide general support to our consultants.
Qualifications
* Proven experience as an Administrative Assistant or in a similar office support role.
* Excellent organisational and time-management skills, with the ability to prioritise tasks effectively.
* Proficiency in the full Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
* Strong written and verbal communication skills.
* Exceptional attention to detail and a commitment to accuracy.
* A proactive and resourceful approach to problem-solving.
* The ability to work independently and as a collaborative member of a team.
* A genuine interest in environmental services is desirable but not essential.
