Administrative Assistant (Admissions & Sales)--Ace Healthcare Training Institute

Location: 8 South Morris Street, Suite 200-202, Dover, NJ 07801
Pay: $19.00 - $20.00 per hour (depending on experience)
Schedule: Monday – Friday, 9:00 AM – 5:00 PM (some evenings & occasional weekends)

We are seeking a highly motivated Administrative Assistant who will play a key role in student admissions and sales. This position is ideal for someone looking to grow into an Admissions Representative role, as we will provide training and mentorship.

Position Overview:

This is not your typical administrative role—our ideal candidate is a people person who thrives in a fast-paced environment, enjoys speaking with prospective students, and has strong sales skills to drive enrollment. You will be trained in ZohoCRM and QuickBooks Online to manage student data, process payments (via Square), and track admissions progress.

Key Responsibilities:

  • Act as the first point of contact for prospective students—engage, follow up, and encourage enrollment.
  • Make and receive phone calls, emails, and messages from inquiries and convert them into enrollments.
  • Master our ZohoCRM system to track leads, follow-ups, and admissions status.
  • Process student payments (cash/credit) using QuickBooks Online and Square.
  • Maintain and update student records, attendance, and necessary documentation.
  • Assist with social media postings, school newsletters, and email communication.
  • Support office management tasks such as filing, data entry, and supply purchasing.
  • Coordinate student registration, onboarding, and class schedules.
  • Attend team meetings, take minutes, and support management as needed.

What We’re Looking For:

-Strong communication & sales-oriented mindset – You’re confident on the phone!
-Detail-oriented with excellent organizational skills.
-Comfortable learning ZohoCRM, QuickBooks Online, and Square (training provided).
-Ability to multitask in a fast-paced environment.
-Proficiency in Microsoft Office (Word, Excel, Outlook) and general tech-savviness.
-A team player who enjoys helping others and being part of a growing organization.

Qualifications:

  • High school diploma or equivalent (associate degree preferred).
  • 1+ year of experience in administrative, sales, or customer service roles.
  • Previous experience in admissions, sales, or call-center environments is a plus.
  • Experience in the education or healthcare training industry is a bonus.
