Administrative Assistant and Assistant to the CEO

Job Summary
We are seeking a detail-oriented and organized Administrative Assistant and Assistant to the CEO to join our team. The ideal candidate will provide essential support to our office operations, ensuring efficient administrative processes and excellent customer service. This role requires a proactive individual who can manage multiple tasks effectively while maintaining a high level of professionalism.

Responsibilities

  • Manage front desk operations, including answering inquiries with professionalism and courtesy.
  • Perform data entry tasks, ensuring accuracy in all records and documentation.
  • Maintain filing systems for efficient retrieval of information and documents.
  • Calendar management, scheduling appointments, and coordinating meetings.
  • Provide clerical support, including proofreading documents and preparing reports.
  • Utilize QuickBooks for basic bookkeeping tasks as needed.
  • Support customer service efforts by addressing client inquiries and providing assistance.
  • Collaborate with team members on various administrative projects as required.
  • Ensure the office environment is organized and well-maintained.
  • Assist in implementing and managing CRM system.

Requirements

  • Proven experience in an administrative role or similar position.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Experience with CRM Systems.
  • Strong computer skills with a focus on data entry and document management.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong typing skills with attention to detail for accurate documentation.
  • Experience in customer support or service-oriented roles is highly valued.
  • Assist with hiring, and onboarding new employees.
  • Prepare quotes, invoices and other company forms.
  • Knowledge of bookkeeping principles is advantageous, particularly using QuickBooks.
  • Demonstrated ability to manage time efficiently while meeting deadlines.

Job Type: Part-time

Pay: From $21.00 per hour
