Administrative Assistant / Customer Service Representative (Bilingual English–Spanish)

Overview

La Paloma Funeral Services is seeking a dedicated and organized Bilingual Administrative Assistant / Customer Service Representative to join our team. We are a family-owned funeral home committed to helping families in their most difficult times, and we need someone who is patient, caring, and professional.

The ideal candidate will provide comprehensive administrative and customer service support, ensuring smooth daily operations and compassionate communication with families. This role requires fluency in both English and Spanish (spoken and written preferred), excellent organizational skills, and the ability to manage a variety of tasks in a sensitive environment.

Responsibilities

  • Greet visitors and manage front desk operations with professionalism and empathy
  • Answer and direct incoming calls using a multi-line phone system with excellent phone etiquette
  • Assist families in both English and Spanish, ensuring clear, compassionate communication
  • Maintain office organization through filing, data entry, and calendar management
  • Provide administrative support including typing, proofreading, and correspondence
  • Create documents, spreadsheets, and presentations using Microsoft Office (Word, Excel, PowerPoint) and Google Workspace
  • Use Canva (preferred) to design simple materials when needed
  • Assist with bookkeeping tasks using QuickBooks and maintain accurate records
  • Support customer service by addressing inquiries and providing assistance as needed
  • Collaborate with staff to ensure smooth daily operations
  • Manage inventory of office supplies and coordinate orders

Qualifications

  • Bilingual (English/Spanish) – strong verbal communication and written Spanish preferred
  • High school diploma required; some college coursework preferred
  • Previous administrative or customer service experience required (funeral home experience a plus, but not required)
  • Proficiency in Microsoft Office Suite and Google Workspace
  • Familiarity with Canva or other design tools a plus
  • Strong organizational and time-management skills
  • Compassionate, patient, and professional demeanor when working with grieving families
  • Ability to multitask and adapt in a fast-paced environment
