About the Role
We are seeking a highly organized and proactive Executive Administrative Assistant / Bookkeeper to support the owner of a growing construction and real estate services company.
This role is ideal for someone who enjoys keeping operations organized, managing financial records, and helping a business run efficiently. You will work directly with leadership and play a key role in improving office systems, supporting projects, and helping transition the company to more digital and AI-supported processes.

Key Responsibilities
- Provide executive administrative support to the owner, including scheduling, correspondence, and document preparation
- Assist with transitioning company records and operations from paper systems to a digital SaaS service management platform
- Enter and organize customer service requests in the company’s service management software
- Prepare, track, and manage project proposals and estimates
- Generate invoices and assist with documentation for work in progress
- Maintain accurate financial records using QuickBooks
- Perform bank and credit card reconciliations and track project-related expenses
- Issue and track purchase orders and support accounts payable processes
- Prepare timesheets and payroll summary reports for processing
- Maintain organized digital and physical filing systems
- Communicate professionally with clients, vendors, and financial institutions as needed
- Assist with document collection and organization related to property management and project records
Qualifications
- Previous experience in an administrative assistant, bookkeeping, or office management role
- Strong computer skills and ability to navigate multiple software platforms
- Proficiency in QuickBooks and Microsoft Office 365
- Excellent organizational and time-management skills
- Strong written and verbal communication skills
- Ability to work independently while supporting a collaborative team environment
- High attention to detail and strong problem-solving ability
- Experience in construction, real estate, or property management environments is a plus
