Administrative Assistant - Catholic School

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to support the daily operations of our school. This is a full time 12 month position. This role is vital in ensuring smooth administrative processes, effective communication, and a welcoming environment for students, staff, and visitors. The ideal candidate will bring enthusiasm, exceptional organizational skills, and a proactive attitude to contribute to our vibrant educational community. This position offers an exciting opportunity to be at the heart of school operations, providing essential support that keeps everything running seamlessly.

Responsibilities

  • Support the front desk by greeting visitors, students and staff, answering phones.
  • Manage calendar appointments for staff and administrators, coordinating meetings and events
  • Manage the security system maintained by S&B security
  • Manage all key fob and key access for all school employees
  • Maintain student records
  • Sends out weekly updates to the community
  • Work with the parish office to schedule rooms and building facilities for events and meetings
  • Handle data entry tasks using Microsoft Office and Google Workspace applications, maintaining accurate records and files
  • Support office management tasks such as filing, proofreading documents, and maintaining organized records
  • Assist with customer support by addressing questions from students, parents, and staff promptly and effectively
  • Manage office supplies inventory, order materials as needed, and ensure the front desk area remains welcoming and organized

Qualifications

  • Proven office experience with strong clerical skills and familiarity with administrative procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Excellent organizational skills with the ability to prioritize tasks efficiently
  • Strong typing skills along with attention to detail for proofreading documents
  • Bilingual abilities are a plus to support diverse school communities
  • Exceptional phone etiquette and customer service skills for engaging with students, parents, staff, and visitors
  • Demonstrated ability to manage multiple responsibilities simultaneously while maintaining professionalism
  • Personal assistant or office management experience is advantageous but not required
