Job Title: Administrative Assistant (Client Services & Executive Support)
Reports to: Executive Team
Position Summary: We are seeking a detail-oriented and proactive Administrative Assistant to support the operational and executive functions of our laboratory. This role involves managing day-to-day administrative duties, supporting executive leadership, and assisting with compliance-related documentation. The ideal candidate is highly organized, professional, and comfortable working in a fast-paced, technical environment.

Key Responsibilities:
Laboratory Administrative Support
- Manage, organize, and file paper requisitions and other lab-related documents to ensure easy retrieval and regulatory compliance.
- Perform documentation audits for accuracy and completeness in accordance with internal SOPs and external regulatory standards.
- Track and maintain logs for forms, compliance documents, and other records.
- Assist with data entry, recordkeeping, and reporting for billing and laboratory processes.
- Coordinate internal communications between staff and leadership.
Client Services Duties
- Assist with scheduling pickups and shipping supplies to clients
- Communicate with clients and doctors to troubleshoot any questions or issues
- Assist sales team in account management and admin tasks
Executive Assistant Duties
- Provide direct administrative support to the Executive team.
- Run local errands (e.g., picking up supplies, delivering documents, arranging special orders) as needed by leadership.
- Schedule and coordinate executive meetings, appointments, and travel arrangements.
- Maintain confidentiality when handling sensitive information or strategic discussions.
General Office Management
- Order and maintain office supplies, ensuring timely restocking.
- Support onboarding of new personnel by preparing documentation and scheduling orientation.
- Handle incoming and outgoing mail, deliveries, and courier services.
- Maintain a clean and organized office environment, ensuring smooth daily operations.
Qualifications:
- Education: High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Experience: 2+ years in an administrative or executive support role; experience in a laboratory, clinical, or scientific setting is a plus.
- Strong attention to detail, especially in handling documentation and compliance-related tasks.
- Excellent communication, organization, and time-management skills.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with document tracking systems is a plus.
- Valid driver’s license and access to transportation for errands (if applicable).
Job Type: Full-time
Pay: $21.00 - $23.00 per hour
