Job Summary
We are seeking a dynamic and highly organized Administrative Assistant with a focus on construction-related support to join our team. Duties
- Manage front desk operations, greeting visitors and directing calls with professionalism and courtesy
- Operate multi-line phone systems, handle inquiries, and route calls efficiently
- Maintain organized filing systems for project documents, contracts, and correspondence
- Perform data entry and bookkeeping tasks using QuickBooks and other accounting software
- Support project coordination by managing calendars, scheduling meetings, and tracking deadlines
- Assist with office management duties such as supply procurement, equipment maintenance, and record keeping
- Proofread documents, reports, and correspondence to ensure accuracy and clarity
- Provide excellent customer support by addressing inquiries promptly and professionally
Requirements
- Proven office management experience in a construction or related industry environment
- Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry tools
- Experience with QuickBooks for bookkeeping and financial recordkeeping
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting
- Bilingual abilities are a plus to assist diverse teams and clients
- Exceptional phone etiquette with experience managing multi-line phone systems
- Clerical experience including filing, proofreading, and document management
- Strong time management skills with the ability to prioritize tasks efficiently
- Personal assistant or administrative support experience preferred
- Familiarity with construction project workflows is advantageous but not required
