Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.


Summary:

This is a dynamic and fast-paced administrative role supporting a world-class product design and user experience team responsible for building some of the most widely used digital products in the world. The ideal candidate will serve as a critical operational backbone for a partner-level manager and their broader team, ensuring seamless day-to-day operations across scheduling, logistics, communications, and team coordination. This position demands a highly proactive, detail-oriented professional who can anticipate needs before they arise, manage competing priorities with grace, and communicate effectively with stakeholders at all levels of the organization. This is a hybrid role requiring four days onsite per week, offering the opportunity to be embedded in a collaborative and innovative environment.


Job Responsibilities:

  • Manage complex calendars for partner-level leadership, including scheduling, prioritization, and conflict resolution

  • Coordinate domestic and international travel arrangements, including itineraries and logistics

  • Plan, coordinate, and execute meetings, team events, and other departmental activities

  • Attend to team requests and follow up to ensure timely resolution and completion

  • Support department financial operations, including tracking and processing expenses

  • Manage personnel operations including onboarding and offboarding of employees

  • Oversee facility operations and coordinate hardware and peripheral ordering

  • Learn about team initiatives and prepare materials or logistics in advance of upcoming events

  • Complete special projects as assigned by leadership

  • Draft and manage communications on behalf of leadership with professionalism and clarity


Requirements:

  • Minimum of 5 years of administrative experience required

  • Experience supporting senior or partner-level leaders with complex scheduling and calendar management

  • Prior experience coordinating events, meetings, or team logistics

  • Exceptional calendar management skills, particularly for senior or partner-level executives

  • Strong written and verbal communication skills with the ability to interact effectively with stakeholders at all levels

  • High degree of proactiveness with the ability to anticipate business needs without being prompted

  • Superior attention to detail and organizational skills

  • Strong problem-solving abilities with a solutions-oriented mindset

  • Ability to thrive in a fast-paced, dynamic, and ever-changing environment

  • Demonstrated ability to work independently and manage multiple priorities simultaneously

  • Experience coordinating events, meetings, and team logistics


Additional Details:

  • Location: Redmond, WA (Hybrid: 4 days onsite)

  • Duration: 11 months

  • Pay Range*: $23.50 - $26.50 per hour

  • Weekly Schedule: 40 hours

  • Job Status: Non-Exempt
