Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary:
We are looking for a highly organized, proactive, and detail-oriented administrative professional to join a dynamic and fast-paced integrated marketing organization. This role is central to enabling operational excellence by supporting two senior General Managers and working in close partnership with Chiefs of Staff, Business Managers, and cross-functional stakeholders. The ideal candidate thrives in an environment where priorities shift quickly, exercises sound judgment and discretion, and brings a strong sense of urgency and ownership to every task. From managing complex executive calendars to coordinating team events and tracking project deliverables, this individual will serve as a critical operational backbone for a high-performing marketing leadership team.
Job Responsibilities:
Provide high-level administrative support to two General Managers, including calendar management, meeting coordination, and travel planning
Manage complex, fast-changing schedules across multiple leaders, proactively anticipating conflicts and resolving them with sound prioritization
Coordinate logistics for team meetings, Town Halls, offsites, and morale events, including venue selection and material preparation
Track project timelines, coordinate across teams, and manage deliverables to ensure seamless execution
Manage expenses for senior leaders, ensuring compliance with internal financial policies
Partner with internal stakeholders including Chiefs of Staff, Business Managers, Executive Administrators, and Program Managers to align on business priorities
Maintain confidentiality and exercise professional judgment when handling sensitive information
Ensure compliance with internal policies and contribute to a culture of respect, inclusivity, and integrity
Respond with urgency and effectiveness to shifting leadership and team needs
Requirements:
8 to 10 years of experience in administrative, business support, or customer service roles supporting executive-level management
Proven expertise in executive calendar and travel management, event planning, and expense tracking
Demonstrated experience working in a global or cross-functional team environment
Experience mentoring peers and contributing to team development is preferred
Bachelor's degree in Business Administration, Human Resources, Marketing, Communications, or equivalent experience preferred
Advanced proficiency in Microsoft Outlook, with demonstrated ability to manage high-volume, complex executive calendars
Strong calendar management skills across multiple senior leaders, including prioritization and conflict resolution
Project and task management capabilities, including tracking timelines, coordinating across teams, and managing deliverables
Excellent written and verbal communication skills with a high degree of responsiveness
Strong organizational skills and attention to detail, with the ability to manage multiple competing priorities independently
Proficiency in procurement and financial tools including MyOrder, MSInvoice, and GSR
High level of professionalism, discretion, and tact in handling confidential matters
Self-starter mentality with a strong sense of initiative, ownership, and urgency
Ability to adapt quickly in a fast-paced, ever-changing environment
Additional Details:
Location: Redmond, WA (Hybrid: 3 days/week)
Duration: 12 months
Pay Range*: $32.50 - $37 per hour
Weekly Schedule: 40 hours
Job Status: Non-Exempt
