Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.

Summary

Are you a highly organized, tech-savvy administrative professional who thrives in a fast-paced, dynamic environment? This is an exciting opportunity to join a collaborative and energetic team at the forefront of artificial intelligence development. In this role, you will provide essential administrative and operational support to a Corporate Vice President and a growing team of approximately 35 people, while also contributing to broader organizational support as needed. You will be a key partner in keeping the team running smoothly by managing calendars, coordinating onboarding, handling equipment logistics, and supporting a wide range of day-to-day operational needs. Success in this role requires someone who is proactive, resourceful, detail-oriented, and comfortable navigating ambiguity while managing multiple priorities with professionalism and discretion.

Job Responsibilities

  • Manage complex calendar scheduling for a CVP, including travel arrangements, proactive prioritization, and expense reporting
  • Coordinate and prepare for meetings, making informed decisions on shifting business priorities to ensure accurate scheduling and appropriate allocation of time
  • Partner and cross-collaborate with the administrative team and various parts of the broader organization, including HR, Staffing, Finance, and Facilities
  • Manage headcount tracking, open position monitoring, requisition creation, and new hire onboarding
  • Maintain and update distribution lists to support team communications
  • Manage space allocation, anticipate compression issues, schedule individual moves, and assist with group moves
  • Order and track equipment for new hires and hardware refreshes, including updating custodians, cost centers, recycled assets, and equipment transfers using MyDevice and MyOrder
  • Review operating budget and spending activity, identify near-overages, and partner with Finance to ensure reporting accuracy
  • Act as interim approver on team expense reports, ensuring proper coding and compliance
  • Plan and organize off-sites, morale events, All-Hands Meetings, and other team and organizational events
  • Understand the rhythm of the business and planning cycles to effectively anticipate needs, plan events, and provide timely support
  • Provide general administrative backup support across the broader administrative group as needed

Requirements

  • 2 to 4 years of administrative experience in a fast-paced environment
  • Previous experience as an administrative assistant, group admin, or team and onboarding support admin within Microsoft at a level 1 or level 2 capacity is strongly preferred
  • Experience supporting new hire onboarding processes and equipment ordering is required
  • Demonstrated experience with Microsoft internal tools, with a minimum of 1 year preferred
  • Strong calendar management skills, including experience supporting senior leadership
  • Excellent verbal and written communication skills with the ability to work effectively across teams and locations
  • Detail-oriented with strong problem-solving and troubleshooting abilities
  • Demonstrated ability to manage multiple priorities and work efficiently under pressure and within tight deadlines
  • Strong cross-team collaboration and interpersonal skills
  • Ability to exercise sound judgment, tact, diplomacy, integrity, and professionalism in all communications
  • Ability to maintain confidentiality and use discretion at all times
  • Tech-savvy with the ability to answer general questions about computer and peripheral setup, equipment ordering, and hardware logistics
  • Experience with Microsoft internal tools such as Employee Central, TA Hub, HR Insights, MSS, Informa, and MS Space preferred
  • Experience with MyDevice and MyOrder for equipment ordering and asset tracking
  • Ability to lift and move standard office equipment such as computers and peripherals

Additional Details

  • Location: Redmond, WA (Hybrid: 3 days per week)
  • Duration: 9 days
  • Pay Range*: $27.50 - $31 per hour
  • Weekly Schedule: 40 hours
  • Job Status: Non-Exempt
