Administrative Assistant – Estimating & Operations Support

SLM is seeking a reliable, organized, and detail-oriented Administrative Assistant to support our estimating and operations teams. This position plays an important role in preparing bid packages, organizing project information, assisting with equipment scheduling and dispatch coordination, and supporting daily office operations.

Responsibilities

  • Assist with preparing proposals and bid documents based on information provided by management.
  • Transfer estimate information into professional Word documents and project packages.
  • Organize and maintain bid files, project records, and supporting documentation.
  • Track bid due dates and assist with bid submissions.
  • Assist with equipment scheduling and coordination.
  • Support dispatch operations by helping communicate schedules and project needs.
  • Maintain organized digital and physical filing systems.
  • Communicate with vendors, subcontractors, clients, and field personnel as needed.
  • Answer phone calls, emails, and provide general administrative support.
  • Perform other administrative duties as assigned.

Skills

  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Word, Outlook, and general computer applications.
  • Ability to prioritize tasks and manage multiple deadlines.

Pay: $25.00 - $30.00 per hour
