Administrative Assistant – Financial Planning Office

We are seeking a highly organized and dependable Administrative Assistant to provide dedicated support to two financial planners. This role is essential in maintaining the efficiency of daily operations, ensuring client satisfaction, and upholding the firm’s professional standards.

Key Responsibilities

  • Manage client scheduling, correspondence, and follow-up communications.
  • Prepare client review packets, reports, and meeting materials.
  • Maintain client records, documentation, and compliance files within the firm’s CRM system.
  • Coordinate new client onboarding and account service requests.
  • Communicate with custodians, investment companies, and vendors to facilitate client transactions.
  • Support marketing and client engagement initiatives, including mailings and event coordination.
  • Perform general office management tasks such as ordering supplies, organizing files, and maintaining office systems.
  • Ensure adherence to confidentiality and compliance policies at all times.

Qualifications

  • Minimum of 2 years of administrative experience, preferably within financial services, insurance, or a professional office environment.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite; familiarity with financial CRM systems (e.g., Redtail, Wealthbox, Salesforce) preferred.
  • Strong organizational skills with attention to detail and the ability to prioritize multiple tasks.
  • Demonstrated professionalism, discretion, and reliability.
