ADMINISTRATIVE ASSISTANT - FINANCIAL REPORTING

Time Equities, Inc. (“TEI”), a full-service real estate company, is seeking an administrative assistant who will be responsible for supporting the CFO and Director of the Equity Department. This role involves assisting in managing a large roster of current investors, handling a multitude of transactions, preparing communications, uploading K-1 and Investor Statements, and collaborating with internal teams to enhance operational processes.

RESPONSIBILITIES

Job responsibilities include, but are not limited to:

  • Coordinate team communications and calendars, respond to calls/emails, and interface with clients
  • Prepare invoices, memos, and reports
  • Maintain organized filing systems (electronic & hardcopy), databases and retrieve information
  • Schedule meetings, calls, and webinars
  • Provide general administrative support to the IR, Audit, and Finance executives
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff and clientele
  • Maintenance and Management of the App Folio Investor Portal
  • Assist various departments with onboarding of investors, new and sold properties, and other transactions

REQUIREMENTS

  • 2+ years of professional experience in finance, private wealth advisory, or related real estate/investment fields
  • Proficiency with App Folio, Microsoft Excel, and PowerPoint
  • Requirement to work in the office
  • Professional written/verbal interpersonal communication skills with a client-service mindset
  • High level of organization, accuracy, and attention to detail
  • Ability to maintain confidentiality and handle sensitive information
  • Strong initiative and ability to work both independently and as part of a team
  • Ability to manage multiple deadlines and adapt to changing priorities
  • Interest in real estate, investing, private markets, and in developing skills across investor relations, capital administration, and operational systems
  • Bachelor's degree
