Administrative Assistant for ADDT

AEDD is now accepting applications for a full-time Administrative Assistant for our ADDT Dept. Position responsible for performing a broad range of administrative, clerical & office duties (including payroll, billing, answering and directing calls, organizational duties) utilizing department procedures & general office protocols. Must be proficient in Microsoft Excel. Must be able to pass drug test and criminal background check. EOE/M/F

Pay rate: $14.00 Negotiable depending on education and experience.

Summary: Assists the ACS department in ensuring payroll and billing timelines are met. Processes and tracks medication and financial records for individual consumers in respect to federal, state, and AEDD guidelines by performing the following duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Answering and directing incoming calls
  • Weekly, processes timesheets of direct care staff by logging and tabulating into payroll log.
  • Monthly, audits timesheets and mileages sheets to ensure accurate billing.
  • Logs, copies and distributes incoming PA's from DDS.
  • Audits PA's to ensure funding approved matches funding requested. Flags PA's that are inconsistent with requested funding and notifies ACS Director of inconsistencies.
  • Collaborates with the appropriate departments to ensure deadlines are met for payroll and billing purposes.
  • Assists Direct Care Supervisors in correcting timesheet/payroll issues.
  • Works with Direct Care Supervisors and utilizes Consumer General Ledger to process consumer checks for allowance, rent, and other requests.
  • Organizes and maintains file system. Assists with filing timesheets, medication logs, financial documents, consumer files and other records.
  • Logs and tracks employee status forms.
  • Prepares and sorts source documents, and identifies and interprets data to be entered.
  • Contacts preparers of source documents to resolve questions, inconsistencies, or missing data.
  • Makes necessary corrections to information entered.
  • Composes and types routine correspondence and makes copies of correspondence or other printed materials.
  • Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Responsible for the monitoring of the consumer's self-administration of medications, as needed.

Education and/or Experience: A diploma or GED and a minimum of three to six months' previous experience is preferred.

Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Office software, specifically Word, Excel, and Outlook and Windows operating system.

Safety Sensitive Position: This is a safety sensitive position as it involves operating a motor vehicle as part of the job duties and a lapse of attention could result in injury, illness, or death to the consumers being transported. See Ark. Const. Amend. 98 2(25). All positions classified as safety must refrain from reporting to work or being subject to duty while their ability to perform job duties is impaired due to the use of alcohol or other drugs. All positions classified as safety sensitive are prohibited from testing positive for metabolites of substances that are listed in the schedules of the Federal Controlled Substances Act and the Arkansas Uniform Controlled Substances Act, regardless of whether the employee possesses a medical marijuana registry identification card. See id. at 3(f)(3)(B)(iii). This policy applies during all work hours, whenever conducting business for AEDD.

While performing the duties of this position the employee travels by automobile and is exposed to changing weather conditions.

Travel: Travel is primarily local during the business day, although some out-of-the-area and overnight travel may be expected.
