Job Summary
We are seeking a highly organized and proactive Administrative Assistant to support our CEO with a wide range of administrative and executive support duties. Duties
- Manage the CEO’s calendar, schedule appointments, meetings, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
- Prepare, proofread, and transcribe correspondence, reports, and presentations with precision.
- Coordinate special projects and events from planning through execution, ensuring all details are handled professionally.
- Handle incoming calls with professionalism using multi-line phone systems and maintain excellent phone etiquette.
- Oversee office management tasks including filing, data entry, bookkeeping with QuickBooks, and maintaining office supplies inventory.
- Assist with personal tasks for the CEO as needed, acting as a reliable personal assistant to facilitate daily routines.
- Support clerical functions such as proofreading documents, transcription, data entry, filing systems, and front desk responsibilities.
Skills
- Proven experience in administrative support or office management roles with strong organizational skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and Microsoft Outlook Calendar.
- Experience with QuickBooks for bookkeeping and basic financial record keeping.
- Excellent typing speed combined with strong proofreading and transcription abilities.
- Demonstrated ability to coordinate projects efficiently while managing multiple priorities simultaneously.
- Exceptional customer service skills coupled with professional phone etiquette on multi-line phone systems.
- Strong attention to detail in clerical tasks such as filing, data entry, and document management using DocuSign or similar platforms.
- Knowledge of office procedures including filing systems, front desk operations, and office experience in a fast-paced environment.
