Administrative Assistant for Construction Company

Duties and Responsibilities

Filing and inputting data into Spreadsheets

Provide general administrative support to the company’s operations.

Perform all other office task such as office inventory, restocking and maintenance

Ability to start a project and see it through to finish

Answer phones & take detailed messages

Manage and respond to inquiries professionally.

Conduct entry level outbound telephone calls

Develop and implement organized filing system with little supervision

Perform all other office tasks required

Draft correspondences and other formal documents

Receive, review, and process invoices from subcontractors and vendors for accuracy and completeness.

Enter and maintain invoice and payment data in internal accounting and project tracking systems.

Maintain organized electronic and physical filing systems, records, and databases.

Coordinate with the accounting department to obtain approvals and ensure timely processing of invoices and reimbursements.

Strong knowledge and comfortability using Excel

Knowledge and skill using Printers, Plotters and Scanners

Ability to be a self-starter and show strong initiative

In charge of communicating details to the accounting department.

Perform routine office tasks including correspondence, data entry, document preparation, scheduling, and mail handling.

Use standard office equipment and computer software to support daily business operations.

Required Skills and qualifications

· Excellent communication skills to collaborate with others under any type of condition

· Excellent clerical and organizational skills to keep track of schedules, routes, and personnel

· Knowledge of computers such as excel, Microsoft office, Outlook calendar, and QuickBooks

· Ability to multitask with different, and sometimes conflicting, events happening at the same time

· Ability to work under stress and remain calm and to calm other people during rapidly changing circumstances

· Ability to relay information in a fast-paced environment

Education and training requirements

· A high school diploma or GED is all that is necessary. Preferred Associates’ degree but not required.
