Administrative Assistant for Underground Utility Company

Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant with experience in OKIE 811 ticket management and strong computer proficiency. This vital role offers an opportunity to support daily office operations, enhance workflow efficiency, and provide exceptional customer service. The ideal candidate will be proactive and detail-oriented. As an Administrative Assistant, you will be the backbone of our administrative functions, ensuring that everything runs seamlessly and professionally.

Duties

  • Manage and process OKIE 811 tickets, including entry, tracking, updates, and closeout
  • Communicate with field crews, utility companies, and project managers regarding locate requests
  • Maintain accurate records of tickets, maps, and project documentation
  • Perform data entry, reporting, and document management with high accuracy
  • Maintain organized filing systems, both physical and digital, including data entry and document management using tools like Google Workspace and Microsoft Office.
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events to optimize office productivity.
  • Review time entries and verify accuracy for payroll.
  • Provide clerical support including proofreading documents, preparing reports, and managing correspondence.
  • Facilitate office management tasks such as supply ordering, maintaining office equipment, and ensuring a clean, organized workspace.
  • Support crews out in the field by contacting customers, Okie811, or other utility companies.
  • Perform personal assistant duties when needed, including travel arrangements or special project support.

Qualifications

  • Prior experience with OKIE 811 or similar one-call systems (preferred)
  • Proven experience in an office environment with strong clerical skills and excellent organizational abilities.
  • Proficiency in computer literacy with expertise in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Exceptional phone etiquette skills with experience managing multi-line phone systems.
  • Bilingual abilities are a plus.
  • Strong typing skills with high accuracy; attention to detail for proofreading and data entry tasks.
  • Knowledge of office management procedures including filing systems, calendar management, and time management strategies.
  • Ability to handle confidential information discreetly while maintaining professionalism at all times.
