We are seeking a reliable, organized, and professional Administrative Assistant / Front Desk Receptionist to serve as the first point of contact for clients and to support the daily administrative operations of the clinic.
Position Overview:
The Administrative Assistant / Front Desk Receptionist plays a vital role in ensuring the clinic operates smoothly and efficiently. This position requires strong organizational skills, attention to detail, professionalism, and a clear understanding of HIPAA regulations and the importance of maintaining strict confidentiality when handling protected health information (PHI).
Key Responsibilities:

Greet and check in clients in a professional and welcoming manner.

Schedule appointments and coordinate meetings for clinical staff.

Maintain and organize medical records in accordance with HIPAA and agency policies.

Assist with maintaining Human Resources files and documentation.

Ensure all client information and records are handled with strict confidentiality.

Coordinate administrative tasks such as scanning, filing, and documentation management.

Assist leadership with administrative support and meeting coordination.

Maintain a clean, organized, and professional front office environment.

Perform light office upkeep including tidying the waiting area and common spaces.

Communicate professionally with clients, staff, and outside partners.
Qualifications:

Previous administrative or front desk experience preferred (healthcare or mental health setting a plus).
