To support our growing operations, we are looking for a highly organized and proactive Administrative Assistant to join our growing team. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask in a fast-paced real estate environment.
Job Responsibilities:
As the first point of contact for our clients, you will play a key role in creating a welcoming and professional atmosphere in the office. Your responsibilities will include:
- Greeting clients and visitors warmly and directing them to the appropriate departments or agents.
- Answering, screening, and professionally forwarding incoming phone calls.
- Managing front desk operations, including appointments, walk-ins, and daily inquiries.
- Handling emails and correspondence efficiently and maintaining accurate records.
- Coordinating meeting room bookings and assisting with office scheduling.
- Maintaining a clean, organized, and professional reception area.
- Supporting the administrative team with data entry, filing, and document preparation.
- Managing courier and mail services.
- Upholding company standards and confidentiality at all times.
- Provide administrative support to the sales and leasing team.
- Manage property listings on portals such as Bayut, Dubizzle, Property Finder, etc.
- Maintain and update property databases and client records.
- Prepare and organize documents such as tenancy contracts, listings, and reports.
- Schedule meetings, property viewings, and follow-ups.
- Coordinate with agents, landlords, and tenants for smooth operations.
- Assist in preparing marketing materials and social media posts.
- Ensure office supplies, files, and records are properly managed.
Qualifications & Skills:
- Minimum 2 years of experience in a similar administrative role (Real Estate experience preferred).
- Strong knowledge of MS Office (Word, Excel, PowerPoint), DLD, RERA and CRM systems.
- Excellent communication and organizational skills.
- Fluency in English (Arabic or other languages is a plus).
- Ability to multitask and prioritize tasks effectively.
- Positive attitude, professionalism, and attention to detail.
- UAE experience preferred.
- Bachelor’s degree or diploma (preferably in Business Administration or related field).
- Minimum 1–2 years of experience as a receptionist, front desk officer, or administrative assistant (real estate experience preferred).
- Excellent verbal and written communication in English (Arabic or other languages are a plus).
- Proficient in MS Office (Word, Excel, Outlook) and familiar with CRM systems.
- Strong multitasking and organizational skills.
- Friendly, approachable, and client-focused personality.
- Professional appearance and demeanor.
- Ability to handle confidential information with discretion.
- Punctual, reliable, and adaptable in a fast-paced environment.
