About the position
We are looking for an enthusiastic, hands-on candidate that will provide exceptional support to our administrative team. Must believe in providing positively exceptional service to our customers and must have exceptional organizational skills with the ability to prioritize based on urgency.
Job Description
- The essential duties of the Administrative Assistant (AA) is to support the Operations department with general administrative and data entry tasks and additional tasks as assigned.
Responsibilities/Duties:
- Assist with order taking and processing, always ensuring orders are taken thoroughly including all information the warehouse needs for prompt and efficient order processing.
- Answer phones and respond to emails and texts in a timely manner.
- Generate, maintain, and edit documents from orders, purchase orders, emails, instructional documents, logs, etc.
- Prepare communications, such as emails, invoices, reports, and other correspondence as required and assigned.
- Assist Accounts Payable and Receivable with tasks as needed, not limited to maintaining account pricing, logs and filing open and paid invoices.
- Consolidate PO and packing slips to confirm receipt of items and identify any discrepancies between purchase orders and invoices.
- Support the Warehouse Manager and Warehouse Supervisors with their administrative tasks.
- Assist with ordering warehouse and office supplies as needed.
- Assist management with Inventory Control, including sourcing items and research of inventory discrepancies.
- Upload items in Counterpoint POS, keep all internal reference materials by updating data for item references in databases, including the item description, adding item reference numbers and components as required. Accurately and efficiently provide support to sales by entering orders, reporting, and updating vendor and customer information.
- Adhere to all Health & Safety policies and procedures.
- Act at all times in the best interests of R & R General Supply, its customers, and employees.
- Assist in Additional Administrative duties as assigned by management.
Qualifications:
- Must have proof of authorization to work in the U.S
- High School Diploma, GED, or Associates Degree with some level of administrative or data entry experience
- Excellent verbal and written communication skills
- Problem-solving skills, with ability to interact with customers, use intuition for judgement calls, and follow through quickly with problem resolution
- Excellent computer skills, including intermediate Microsoft Word, Outlook, and Excel
- Extremely detail-oriented and organized
- Able to handle changing priorities and be proactive in job duties/projects
- Able to work independently and within a team
- Exceptional relationship management skills and the ability to build and grow connections with people of all types and backgrounds
- Excellent email etiquette and a good telephone manner that is polite and courteous at all times
- Demonstrate a sense of urgency and decisiveness
- Must have integrity and dependability
- Willingness to learn and take on new responsibilities
- Inventory Control and Hardware experience a plus
