Administrative Assistant I

The Administrative Assistant I is responsible for providing administrative support within departmental and Macon-Bibb County procedures and guidelines. EXAMPLE OF DUTIES
The following duties are representative of the work required for this job. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. Assists in all forms of clerical and receptionist duties.Schedules travel arrangements and conference and/or training event registration for department employees.Assists with preparing the annual department budget.Prepares letters, proposals, reports, notices, proclamations and inter-office memorandums.Maintains department files, office equipment and inventory of supplies.Maintains and processes personnel files and records.Prepares purchase requisitions and serves as liaison to the Purchasing Department for procurement.Assists the Finance Department in regard to budget projections based on allocated grant funding and audit controls.Assists in administering policies by providing guidance and interpretation of policies.Resolves public complaints with service problems, initiates referrals or action and follows up on same.Prepare a variety of reports and recommendations.Ability to create and present PowerPoint presentations to provide staff with a comprehensive overview of payroll procedures, while performing additional administrative and miscellaneous duties as required.Perform additional duties and responsibilities as assigned to support departmental operations.

SUPPLEMENTAL INFORMATION
The Administrative Assistant I must be knowledgeable of the following principles, procedures and concepts: Knowledge of the principles and practices of local government administration.Knowledge of budgetary preparation procedures and administration.Knowledge and proficiency of personal computers and word processing and database programs, including the Microsoft Office Suite, the Windows NT network, and internet and e-mail services.Ability to write clear and concise reports, memoranda, directives and letters.Ability to develop comprehensive plans from general instructions.Ability to accomplish assigned administrative tasks with a minimum of supervision and with only general direction.Ability to meet the public and to discuss problems and complaints tactfully, courteously and effectively.Ability to use discretion and to maintain appropriate confidentiality and security of private or confidential information. Ability to maintain effective working relationships with other employees, elected officials, private organizations, and the public.
