Administrative Assistant I - Child Welfare Support

Description

The primary purpose of the position is to coordinate transportation services for the agency by performing a variety of office and/or technical tasks to accomplish the specialized processing, communication, and reporting of information, documents or materials to ensure compliance with established policy, guidelines, as well as court orders issued by the judiciary in relation to DSS activities.


Employee independently performs a variety of program support and administrative tasks, applying varied guidelines and program knowledge. Procedural and operational guidelines are available to ensure compliance within established time frames. Employee independently performs a variety of tasks including some technical tasks in support of social work program and teamwork processes. Guidelines require interpretation and knowledge of organizational functions. Work requires a significant knowledge of office policy, procedures and operations.


  • Follows all rules, policies and procedures along with regulations pertaining to Non-Emergency Medicaid transportation (NEMT), court ordered visitations, the Volunteer Services Program (VSP) and the operation of motor vehicles both owned by the county and privately owned and operated in the course of county business.
  • Coordinates the scheduling and routing of volunteer and employee drivers.
  • Monitors, reviews and schedules training of drivers.
  • Assigns drivers to routes best suited to the overall transportation needs of the agency.
  • Monitors safety procedures, practices of driving, loading and unloading of children, and care of county owned vehicles.
  • Ensures drivers conduct proper maintenance on all assigned county owned vehicles.
  • Works closely with supervisor to ensure that all mechanical deficiencies noted by drivers are corrected.
  • Completes and/or processes forms, reports, and correspondence as required by established processes and/or state and local authorities.Duties include data compilation and document completion including, but not limited to, electronic documents and/or data files of various types; verification, problem identification and resolution; statistical, and/or other record keeping; and problem-solving; electronic files maintenance, management, display, and communication; composition, calculation, and determination of an action or compliance.
  • Work requires knowledge and use of a variety of office equipment systems and related technology. Several software packages may be used to complete work. These systems are used to enter, retrieve, verify, research, display, communicate, update and/or manage data and related document control and/or authorize processing actions.
  • Coordinates information within and between units and divisions.


Regular attendance and punctuality are essential. This is a one-deep position and the Transportation Coordinator must be available during established hours to ensure critical communications, data compilation, and work processes are completed within required timeframes so that the agency remains in compliance.


This position will perform other related work as required by supervisor.

Minimum Education and Experience

Completion of high school or equivalent and four years of progressively responsible secretarial or clerical/administrative/office management experience; or completion of a two-year secretarial science or business administration program and two years of progressively responsible secretarial or clerical/administrative, office management experience; or completion of a four-year program in a college or university preferably with major emphasis on coursework in business administration, public administration, or other related field; or an equivalent combination of training and experience.
