Perform varied and responsible secretarial and administrative assistant duties in the day-to-day operations for the Public Works department. This would include but not be limited to screening incoming calls, filing, typing correspondence, assisting with set-up for meetings, mailings, scheduling appointments and other duties as they arise.

Provides exceptional customer service to all Tribal members, employees, and the public. Receive visitors, including administrators, staff and the public and provide information or direct to appropriate personnel; provide detailed and technical information concerning policies and procedures where judgment, knowledge and interpretation of procedures and regulations are required.

Operate a variety of office equipment including a copier, fax machine, overhead projector, computer and assigned software.

Assure timely communications between assigned office, Tribal personnel and outside agencies; initiate phone calls to receive and transmit information; resolve issues as appropriate; refer difficult situations to the administrator; maintain confidentiality of sensitive and privileged information. Plan, coordinate and organize office activities and coordinate flow of communications; assure smooth operations of assigned office.

Research and compile a variety of information; compute statistical information for various reports; process and evaluate a variety of forms and applications related to assigned functions; duplicate and distribute materials as needed.

Receive, screen and route telephone calls; take and relay messages as appropriate; serve as a resource to others concerning policies and procedures.

Input data into an assigned computer system; generate a variety of mandated and requested computerized reports according to established timelines.

Compose, independently or from note or rough draft, a variety of materials including inter-office communications, applications, requisitions, forms, letters, contracts, legal documents, receipts, memoranda, bulletins and other materials; review and proofread a variety of documents.

Maintain a variety of records related to financial activity, department information, personnel and assigned duties; establish and maintain filing systems.

Receive, sort and distribute mail; prepare and distribute informational packets and mailings as directed.

Coordinate, schedule and attend a variety of meetings; prepare and send out notices of meetings; maintain appointment and activity calendar; reserve facilities; collect and compile information for meetings, projects and workshops; prepare agendas and take minutes as directed.

Monitor inventory levels of office supplies and materials; order, receive and maintain inventory of office supplies and materials.

Develop and implement office procedures to ensure complete and timely operations; create office forms to facilitate workflow.

Coordinate travel arrangements and hotel reservations as necessary; prepare and assure proper completion of reimbursement forms.

Compose Motions and assigned documents for project approvals to Tribal Council.

Contact vendors to make sure accounts are up to date for orders/purchases.

High School or GED required.

5 year of increasingly responsible secretarial experience.
