We are seeking a motivated, detail-oriented, and personable Administrative Assistant / Intake Specialist to join our team. This position will be based in our Rocky Mount office and will provide both administrative support and serve as a key first point of contact for potential new clients across North Carolina.

Key Responsibilities

Administrative Support (Rocky Mount Office)

  • Answer phones, greet visitors, and manage front desk duties.
  • Handle incoming and outgoing mail, scanning, and filing.
  • Provide day-to-day administrative support to attorneys and staff.
  • Assist with scheduling meetings and maintaining office supplies.
  • Ensure smooth office operations and serve as a reliable resource for the team.

Intake Specialist (Firmwide)

  • Serve as the first point of contact for potential clients by answering and returning calls, emails, and online inquiries.
  • Gather and accurately document case information in our case management system.
  • Evaluate potential cases in line with firm criteria and route qualified leads to attorneys.
  • Nurture leads through consistent follow-up and communication with the goal of securing signed representation agreements.
  • Maintain excellent client service standards, ensuring all prospects feel heard, respected, and cared for.

Qualifications

  • Prior experience in an administrative, receptionist, or intake role preferred (law firm or professional services background a plus).
  • Excellent communication skills—both verbal and written.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Tech-savvy and comfortable learning new systems (experience with case management software is a bonus).
  • Professional, reliable, and client-service focused.
  • Bilingual (English/Spanish) a plus, but not required.

Job Type: Full-time

Pay: $14.42 - $23.55 per hour
