Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team in the Katy/Cypress area. Duties
- Manage front desk responsibilities, greeting visitors and clients with a friendly and professional demeanor
- Operate multi-line phone systems, directing calls efficiently and courteously
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Perform data entry and bookkeeping tasks using QuickBooks and other office software
- Support office management activities including calendar management, appointment scheduling, and meeting coordination
- Assist with customer support by addressing inquiries promptly and professionally
- Handle clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
- Utilize Google Workspace and Microsoft Office tools to create reports, spreadsheets, presentations, and correspondence
- Support personal assistant tasks as needed, including travel arrangements and personal scheduling
- Maintain office supplies inventory and coordinate with vendors for procurement
Qualifications
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in QuickBooks, Microsoft Office (Word, Excel, PowerPoint), and Google Workspace applications
- Excellent computer literacy with the ability to learn new software quickly
- Strong phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are highly preferred to serve diverse client needs effectively
- Demonstrated experience in office management, bookkeeping, data entry, and filing processes
- Exceptional attention to detail with proofreading skills for accuracy in documents
- Effective time management skills to prioritize tasks efficiently in a busy environment
- Previous experience supporting customer service or client interactions is advantageous
- Personal assistant experience or calendar management skills are a plus
