Administrative Assistant-Katy/Cypress

Job Summary
We are seeking a dynamic and highly organized Administrative Assistant to join our team in the Katy/Cypress area. Duties

  • Manage front desk responsibilities, greeting visitors and clients with a friendly and professional demeanor
  • Operate multi-line phone systems, directing calls efficiently and courteously
  • Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
  • Perform data entry and bookkeeping tasks using QuickBooks and other office software
  • Support office management activities including calendar management, appointment scheduling, and meeting coordination
  • Assist with customer support by addressing inquiries promptly and professionally
  • Handle clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail
  • Utilize Google Workspace and Microsoft Office tools to create reports, spreadsheets, presentations, and correspondence
  • Support personal assistant tasks as needed, including travel arrangements and personal scheduling
  • Maintain office supplies inventory and coordinate with vendors for procurement

Qualifications

  • Proven experience in office administration or clerical roles with strong organizational skills
  • Proficiency in QuickBooks, Microsoft Office (Word, Excel, PowerPoint), and Google Workspace applications
  • Excellent computer literacy with the ability to learn new software quickly
  • Strong phone etiquette skills with experience managing multi-line phone systems
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Demonstrated experience in office management, bookkeeping, data entry, and filing processes
  • Exceptional attention to detail with proofreading skills for accuracy in documents
  • Effective time management skills to prioritize tasks efficiently in a busy environment
  • Previous experience supporting customer service or client interactions is advantageous
  • Personal assistant experience or calendar management skills are a plus

Pay: $10.00 - $14.00 per hour
