Maintenance Coordinator / Administrative Assistant Job Posting

We’re a locally owned company that manages and maintains residential rental properties throughout the Twin Cities greater metro area and are currently seeking a full-time Maintenance Coordinator/Administrative Assistant to join our team.
What Does this job entail?
Role Responsibilities:
- Answer, track and coordinate maintenance work requests via portal, email and phone
- Troubleshoot basic household maintenance issues over the phone or by use of online videos
- Coordinate maintenance for urgent and emergent maintenance issues (plumbing leaks, no heat, etc.)
- Determine best course of action and assign work orders to the appropriate entity
- Follow up on maintenance work requests, gathering bids from vendor partners as needed
- Communicate and provide updates to property owners, residents, vendors, and maintenance technicians ensuring outstanding client relations, customer service and efficiency
- Follow up on project proposals and contracts
- Track, review and process vendor invoices, ensuring they are accurate and paid on time
- Provide administrative support to Guardian’s maintenance department: rental licensing and inspections, contracting division, unit turnovers, as needed
- Participate and engage in department and company-wide meetings
Ideal Candidate:
- 2+ years administrative experience
- Experience with high-level coordination
- Strong organization and prioritization skills
- Ability to thrive in a fast-paced environment
- Strong communication skills
- Strong sense of urgency
- Excellent attention to detail
- Experience using Microsoft Office Suite
- Ability to follow and utilize spreadsheets for tracking purposes
- Positive Attitude
- Bilingual a plus
- Property Management experience a plus
