Administrative Assistant (Mental Health Group Practice)

OK. Here’s the deal. We need help. Let’s face it, Northwest Counsel is a bunch of therapists in a counseling office and we’d all rather be doing counseling and not all the administrative stuff that goes with it. We need someone who is organized, who is not afraid to create systems and hold us accountable to them. We need someone to take work off the plates of our already tremendous admin team.

Oh, and did I mention that we’re an awesome team! We’re really fun to be around. We laugh with each other, we’re radically supportive of each other. And we’re all really good therapists who value people at the highest level. But our team cannot manage the amount of non-therapy work that we’re needing to do alone. And that’s where you come in!

Northwest Counsel has been around since 2008 and has existed as a therapy group practice in Puyallup since 2016 and has seen some amazing growth, both in our team and in the amount of people we’ve had the opportunity to help.

This position is a mix of client support, administrative coordinating, and billing tasks.

Job Responsibilities:

  • Send payment invoices and payment reminders to clients, follow up on outstanding balances, and communicate with clients regarding account questions
  • Conduct regular insurance verification for new and existing clients and referrals through internet portal and phone verification resources.
  • Fill in to receive phone calls from new referrals and call back new referrals (from messages) in order to help connect them to the right therapist for an appointment.
  • Maintain the practice's online referral list and help prospective clients/referrals get connected to the right therapist on staff for an appointment.
  • When other duties have been completed, welcome clients from the front desk/reception area and answer any questions they might have about paperwork or payments.
  • Work directly with the Administrative Lead on any other tasks to help reduce their administrative workload.
  • Attend and participate in weekly staff meetings on Wednesday afternoons to communicate and connect with team and experience team culture.

Experience:

  • Preferred previous experience working in medical office setting
  • Strong math skills a plus

Administrative Assistant Skills and Proficiencies:

  • Concerned about the well-being of people above all else
  • Proficiency in Google G-Suite (Gmail, Drive, Docs, etc.)
  • Comfortable discussing payments and finances with clients
  • Clear and professional verbal and written communication skills
  • Team-oriented
  • Good at problem solving and working independently and efficiently
  • Excellent attention to detail, accuracy, and follow-through with all responsibilities
  • Flexibility with change and adjustments when needed or required
  • Ability to multitask and prioritize in a timely manner
  • Telephone skills working with clients; professionalism; work well with others from diverse backgrounds with a positive, supportive attitude
  • Collaboration and Teamwork: Partner with therapists to complete tasks in an efficient and courteous manner
  • Contact person for clients’ scheduling and insurance verification needs
  • Prioritize and value confidentiality and discretion
  • Dependable, punctual and excellent attendance
  • Ability to take correction, direction, coaching and open to learning and growing
