Job Overview
We are seeking a dynamic and highly organized Administrative Assistant / Office Manager to join our team who is proficient in QuickBooks. Responsibilities / Experience
- Oversee calendar management, to ensure weekly, monthly, quarterly, and annual reports are completed accurately and efficiently while meeting deadlines
- Oversee accounting data entry including but not limited to accounts receivable, payables, and collections of past due accounts
- Proficiency in Quickbooks, Excel, SAP, Coupa, Open invoice and ISN.
- Manage logistics including including BNSF rail, trucking
- Be liaison for third party DOT compliance contract.
- Provide exceptional customer and vendor service by responding promptly to inquiries via phone, email, or in person
- Coordinate with team members on administrative projects, ensuring timely completion and smooth workflow
- Support personal assistant tasks as needed, including confidential correspondence skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications, with strong Excel skills.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent written and verbal communication skills; bilingual abilities are a plus
- Experience with clerical tasks such as filing, proofreading, data entry, and document management
- Demonstrated time management skills with the ability to prioritize tasks effectively
- Computer literacy including familiarity with office equipment like multi-line phones and printers
- Personal assistant experience or administrative experience that showcases reliability and discretion.
