We are a small, growing landscape design and gardening company rooted in ecological stewardship, seasonal beauty, and artistic sensibility. Our work blends native plantings, regenerative practices, and thoughtful landscape design to create outdoor spaces that feel alive, enduring, and deeply connected to place.

We’re seeking a trustworthy, highly organized, and detail-oriented Administrative & Operations Assistant to help support the operational side of the business so the creative and field work can flow smoothly.

This role is ideal for someone who enjoys structure, clear communication, and supporting a growing business behind the scenes. We’re looking for someone dependable, grounded, receptive to direction, and genuinely interested in helping a small company thrive long-term.

Position Overview

You will serve as a central organizational support for scheduling, bookkeeping coordination, client communication, and internal systems management. The right candidate is capable of balancing administrative precision with warmth, professionalism, and adaptability.

This can be either a full-time or part-time position depending on experience, availability, and fit.

ResponsibilitiesAdministrative & Operations Support

  • Manage scheduling for consultations, installations, maintenance visits, and team calendars
  • Coordinate project timelines and internal organization
  • Maintain organized records, notes, and operational systems
  • Support day-to-day business logistics and workflow

Bookkeeping & Financial Coordination

  • QuickBooks reconciliation and financial organization
  • Assist with tax preparation organization and document management
  • Create and send invoices
  • Track payments and maintain accurate records
  • Help maintain clean and reliable bookkeeping systems

Client & Vendor Communication

  • Communicate with clients professionally through email and occasional phone calls
  • Coordinate with nurseries, vendors, and subcontractors as needed
  • Support a calm, responsive, and thoughtful client experience

Software & Systems

  • Manage and support workflows within Jobber (landscape management software)
  • Help improve internal systems and administrative efficiency
  • Maintain scheduling and project tracking systems

Ideal Candidate

  • Highly organized, dependable, and trustworthy
  • Strong attention to detail
  • Experience with QuickBooks reconciliation and bookkeeping
  • Familiarity with tax preparation processes and organization
  • Experience using Jobber preferred
  • Strong written communication skills
  • Comfortable taking direction while also working independently
  • Calm under pressure and capable of managing multiple moving parts
  • Interested in long-term growth with a small company
  • Appreciation for nature, design, and environmentally conscious work

Preferred Experience

  • Administrative experience in landscaping, construction, design, or other service-based businesses
  • Small business operations support
  • Experience with scheduling coordination and invoicing
  • Familiarity with ecological landscaping or horticulture is a plus

Compensation

  • $26–$32/hour depending on experience
  • Flexible scheduling with some consistency preferred
