ABOUT THE ROLE
The Administrative Assistant is the front-line representative of Origins Integrative Health. You will often be the first point of contact for our patients — in person, over the phone, and through our patient portal. The impression you make matters deeply.
This is not a back-office role. You will be embedded in the daily life of a busy, multi-disciplinary clinic, working alongside seven providers across different specialties. Success in this position requires curiosity, strong communication, and a genuine willingness to learn how each provider practices.

RESPONSIBILITIES
Patient Experience & Front Desk
- Serve as the first point of contact — greeting and checking in patients with warmth and professionalism
- Answer incoming calls; triage questions, relay messages to providers, and follow up promptly
- Communicate clearly and compassionately with patients about appointments, intake, insurance, and clinic policies
- Maintain a calm, organized front desk and coordinate patient flow throughout the day
- Represent the clinic in alignment with our integrative health values, including our fragrance-free policy
Scheduling & AthenaOne EHR Management
- Schedule, reschedule, and confirm patient appointments across seven providers using AthenaOne
- Manage provider calendars, appointment types, and scheduling rules within AthenaOne
- Process new patient intake; ensure demographic and insurance information is complete and accurate
- Monitor and action the AthenaOne task queue: billing tasks, patient messages, referral coordination, and follow-up items
- Verify new patient insurance eligibility prior to appointments per clinic SOP
- Collect co-pays, balances, and patient payments at the time of service
Billing Support
- Complete billing-related tasks within the front desk scope in AthenaOne — including insurance verification and eligibility checks
- Communicate clearly with patients about outstanding balances and payment options; escalate disputes to our external biller
- Provide additional insurance verification support each January–February during annual plan re-verification
Multi-Provider Coordination
- Develop working knowledge of each provider's specialty and scheduling needs across naturopathic medicine, acupuncture, counseling, and psychiatric NP services
- Facilitate communication between providers and patients; relay clinical messages accurately
- Recognize when patients may benefit from multiple services and communicate that clearly
General Administrative
- Maintain accurate patient records in AthenaOne
- Manage faxes, mail, and correspondence
- Support clinic supply management
- Assist with administrative projects as the practice grows
- Participate in team meetings and contribute to a collaborative clinic culture

REQUIRED QUALIFICATIONS
Please read carefully — only candidates who meet ALL of the following will be considered:
- Minimum 1 year of full-time AthenaOne EHR experience, specifically in patient scheduling, billing task management, and general EHR administration
- Demonstrated experience in a patient-facing healthcare administrative role
- Exceptional customer service and interpersonal communication skills — in person, by phone, and in writing
- Strong organizational skills; able to manage schedules across multiple providers without losing attention to detail
- Self-motivated and proactive — identifies what needs to be done and does it
- Comfortable in a collaborative, team-based clinical environment with providers from diverse specialties
- Genuine alignment with a health-conscious lifestyle and willingness to adhere to our fragrance-free policy
PREFERRED QUALIFICATIONS
- Experience in an integrative, naturopathic, acupuncture, mental health, or multi-specialty clinic
- Familiarity with insurance verification workflows and co-pay/patient balance collection
- Comfort navigating building systems in a newly forming practice

COMPENSATION & BENEFITS
- Pay: $22.50/hour
- Schedule: Monday–Friday, 8:30 AM–5:00 PM (no evenings or weekends)
- Benefits (beginning at 90 days):
- 1 week PTO (first year)
- 50% employer contribution toward health insurance premium
