Gill Law Firm is seeking an efficient and professional administrative assistant with the ability to multitask.
Basic Function:
The position is responsible for utilizing a broad range of skills to support the two leaders in their daily routine.
Essential Duties and Responsibilities:
- Collect data from the clients.
- Communicate with the clients via email as necessary throughout the process.
- Organize the data on Google Drive.
- Oversee the client's entry of Personal Information in our legal software or do the manual entry.
- Organize the Proof of Accomplishments and Biographical Details into a PDF Exhibit stack.
- Organize the Personal Information into Government Forms.
- Combine the Lawyer Cover Letter, Government Forms, and Exhibit stack into a final compressed PDF.
- Completing monthly client update excel spreadsheets.
- Once per week in the office for printing and organizing paperwork
- Social Media Marketing as needed.
Knowledge, Skills and Abilities:
- Strong written and verbal communication skills are required.
- Attention to detail and ability to multi-task
- Proficient in Word, Excel, Outlook, Google Drive, and Wix websites.
- Ability to manage/prioritize multiple tasks.
- Overall positive attitude and willingness to adapt to change.
- Good organizational skills are required.
- Ability to identify and resolve problems in a timely manner.
- Excellent customer service abilities and interpersonal skills.
Training and Experience:
- High School Diploma or equivalent required.
- Additional education desirable.
- Marketing experience desirable
- Familiarity with ChatGpt or Claude preferred.
- Related work experience desirable.
Required experience:
- Administrative Assistant: 5 years
