Position Summary

The Administrative Assistant / Planning Assistant will provide administrative support, assist with client communications, coordinate vendor interactions, maintain event documentation, and support event planning activities from concept to execution.

Responsibilities

  • Manage email correspondence and client inquiries
  • Schedule consultations, meetings, and vendor appointments
  • Maintain client files, contracts, and event documentation
  • Assist with event timelines, checklists, and planning materials
  • Conduct vendor research and obtain quotes
  • Follow up with clients, venues, and vendors
  • Prepare planning binders and event-related documents
  • Assist with social media and marketing communications
  • Support event setup, event management, and breakdown as needed
  • Track project deadlines and action items
  • Provide exceptional customer service and professional communication

Qualifications

  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Professional demeanor and customer service experience
  • Proficiency with Microsoft Office Suite and Google Workspace
  • Strong administrative skills including scheduling, record-keeping, document management, and office coordination
  • Ability to manage multiple projects simultaneously
  • Detail-oriented with strong follow-through
  • Reliable transportation preferred
  • Previous administrative, hospitality, or event planning experience preferred but not required
