Public Works Administrative Assistant

The Township of Shaler is seeking a qualified individual for a public works department administrative assistant.

About the Position

We are seeking a highly organized, professional, and detail-oriented Public Works Administrative Assistant to join our municipal operations team. In this role, you will serve as the central hub of communication between our public works supervisors, field crews, outside vendors, and the local community. You will be responsible for managing daily office operations including detailed record keeping, addressing resident inquiries, and maintaining critical departmental records.

Key Responsibilities

  • Office Administration: Manage incoming calls, emails, and inquiries from residents regarding public works services, including snow removal and street maintenance.
  • Data Management: Maintain and organize digital and physical files, fleet maintenance records, work orders, and supply inventories.
  • Vendor & Crew Support: Assist the Public Works Director with scheduling, processing invoices, payroll entry, and coordinating vendor/contractor services.

Qualifications & Requirements

  • Experience: Minimum of 2-3 years of administrative or clerical experience, ideally in municipal government, civil engineering, or a construction-related field.
  • Education: High school diploma or equivalent; Associate’s or Bachelor’s degree in Public Administration, Business, or a related field is highly desired.
  • Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to learn municipal software, ability to maintain internal records for fleet maintenance, in-house construction projects and all ongoing projects within the department.
  • Soft Skills: Excellent interpersonal, conflict resolution, and communication skills to handle resident concerns calmly and professionally.

The salary range for this position is $42,000 - $48,000 with a full-benefit package, including health care and defined benefit pension.
