Administrative Assistant & QuickBooks Data Entry Clerk

Job Summary

We are seeking a dependable, detail-oriented Administrative Assistant & QuickBooks Data Entry Clerk to support our office operations and bookkeeping team. This position combines front-office customer service, administrative support, office organization, and QuickBooks data entry. The ideal candidate is professional, organized, self-motivated, and enjoys working in a small office environment where teamwork and flexibility (and a little fun!) are valued.

Key Responsibilities

  • Create, maintain, and organize client files and records
  • Answer and manage incoming phone calls, emails, 8x8 texts and office correspondence
  • Provide exceptional customer service to clients and visitors
  • Perform general office duties: scanning, filing, shredding, mail processing, and bank deposits
  • Enter financial data into QuickBooks to support bookkeeping and bank reconciliation processes
  • Maintain organized digital and physical records
  • Assist with special projects and administrative tasks as assigned
  • Help maintain a clean, welcoming office environment, including light cleaning tasks such as vacuuming, dusting, and seasonal decorating

· Assist in WW Toys for Toys Initiatives as needed volunteering 2 days per year

Required Qualifications

  • High school diploma or equivalent
  • 1–3 years of administrative, office support, or related experience
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office (Word and Excel)
  • Experience using Google Workspace (Gmail, Docs, and Sheets)
  • Ability to handle confidential information with professionalism and discretion

Preferred Qualifications

  • Experience with QuickBooks data entry
  • Bookkeeping or accounting support experience
  • Experience working in a professional office environment

Working Conditions

  • Part-time position (determine 4 hour shift between 8:00 a.m. – 5:00 p.m.)
  • Ability to bend, reach, and lift to 25 pounds
  • Reliable transportation, valid driver's license, and current auto insurance required for occasional trips to the bank and post office
  • Casual office environment with casual business attire

Compensation & Benefits

  • Starting wage: $17.75 per hour
  • Opportunities for periodic wage increases based on performance
  • Paid time off with flexible scheduling (with advance approval)
  • Mileage reimbursement for approved business-related travel
